Capture trade show leads for manufacturers: one QR code at the booth, routed to sales by request and region

LINEPro and abovePermission:Form「Editable」, Tag Management「Editable」, Service Center「Editable」, LINE Broadcast「Editable」

This recipe helps marketing and sales managers at manufacturers route trade show leads to regional sales reps right in LINE: visitors scan one QR code and leave their details, OakMega tags them by what they asked for and where they're located, and hands each lead to the sales team that covers their region, so nobody has to sort a stack of business cards and spreadsheets after the show before leads get assigned.

Who this is for

  • Marketing (trade show lead): you exhibit at machine tool and automation shows every year and want to know how many leads your booth brings in and what each one is looking for.
  • Sales managers: leads need to go to the North or Central & South sales team, and you want them assigned on the day of the show so reps can contact customers the next morning.

When you're done you'll have a form QR code you can print on posters, catalogs and business cards; "Source", "Request" and "Region" tags applied automatically when customers submit the form; sales team organizations that receive leads by region automatically; and a post-show article sent only to customers who requested a catalog.

The example below uses a fictional industrial equipment maker exhibiting at the "2026 Machine Tool Show". The tags, form, Service Center organizations and post-show article draft were all actually created in the OakMega manual demo workspace.

Flow

Trade show lead flow: one QR code at the booth, printed on posters, catalogs and business cards; customers scan with LINE and add the account to fill it in → the form collects and sorts leads: company, name and phone; "What are you interested in" options apply request tags; "Company location" options apply region tags; completion applies "Source: 2026 Machine Tool Show" → routed to regional sales: auto transfer to the Service Center, North goes to the North sales team and Central & South to their team, and a rep with auto distribution on takes it → follow up after the show: catalog requests get the digital catalog, demo requests get a factory visit booked by a rep, and all replies stay in the Service Center

  1. Print the form's QR code on your booth posters, catalog back covers and business cards. Customers scan it with LINE, add your account as a friend, and fill in the form.
  2. The form collects company name, name and phone. Options in "What are you interested in?" apply request tags, and options in "Company location" apply region tags. On submission, the form also applies "Source: 2026 Machine Tool Show".
  3. Each submission is transferred to Service Center automatically and assigned by region tag to the North or Central & South sales team organization, where a rep with auto distribution turned on takes it.
  4. After the show, follow up by request: customers who asked for a catalog receive the digital catalog, and reps book factory visits with customers who asked for a demo.

How to set it up

StepWhereSettings in this scenario
1. Create tagsMember & Tag › Tag ManagementFolder "2026 Machine Tool Show": Source, Request (catalog / factory demo), Region (North / Central & South)
2. Create sales team organizationsService Center › Service Center Setting › Organization"North sales team" with Assigned Tag "Region: North"; "Central & South sales team" with Assigned Tag "Region: Central & South"
3. Build the trade show formWeb-based Tool › OakMega FormLogin and add-friend required; Option Tags; apply "Source: 2026 Machine Tool Show" on completion; Follow-up Actions: Service Center Transfer
4. Print the QR codeForm info on the right of the form listThe QR code next to the form link
5. Follow up after the showLINE › Post ArticleTag filter "Request: catalog", with the digital catalog link

1. Create source, request and region tags

Under Member & Tag › Tag Management, add a folder named "2026 Machine Tool Show" with three kinds of tags inside:

KindTagsWhat it's for
SourceSource: 2026 Machine Tool ShowCounting how many leads this show brought in
RequestRequest: catalog, Request: factory demoSending different content after the show depending on the request
RegionRegion: North, Region: Central & SouthRouting leads to the sales team organization that covers that region

See Create and manage tags.

2. One Service Center organization per sales region

Under Service Center › Service Center Setting, open the Organization tab and click Create Organization:

  1. Set Organization Name to "North sales team", use Add Agent to add the reps who cover the North, and turn on Auto Distribute to Agent.
  2. Switch to Distribute Condition and turn on Accept System Automatic Distribution. Under Assigned Tag, choose Restrict Tag and select "Region: North".
  3. Click Save. Then create "Central & South sales team" the same way, with "Region: Central & South" as its assigned tag.

The screenshot below shows the Distribute Condition for the North sales team: Accept System Automatic Distribution is on, Assigned Account is No Account Restriction, and Assigned Tag is restricted to "Region: North".

The Distribute Condition tab of the North sales team: Accept System Automatic Distribution is on, Assigned Account is set to No Account Restriction, and Assigned Tag is set to Restrict Tag with Region: North selected

Agents are assigned conversations only when Auto Distribute to Agent is on for them. For the full rules, see Understand how conversations are assigned to organizations and agents.

3. Build a trade show lead form

Under Web-based Tool › OakMega Form, add a folder named "Trade show leads" and create a form named "2026 Machine Tool Show | Catalog & demo request":

  1. In Form Settings, keep Login via Communication Platform on and turn on Add friend to fill form. Set Apply tags when completing form to "Source: 2026 Machine Tool Show".
  2. In Question Settings, add these questions in order:
    • The member contact information questions Real Name and Phone, both with Required on. Answers are saved to the customer's member data.
    • Single Line Text: title "Company name", required.
    • Multiple Choice: title "What are you interested in?", Option Type set to Multiple Choice. Set the Option Tags for the option "Send me the digital catalog" to "Request: catalog", and for "Book a factory demo" to "Request: factory demo".
    • Multiple Choice: title "Company location", Single Choice. "Northern region" applies "Region: North", and "Central & southern region" applies "Region: Central & South".
  3. Under Follow-up Actions, turn on Service Center Transfer (automatically transfers the member to customer service after they submit the form).
  4. Click Save.

The screenshot below shows the options of the "Company location" question. Each option has its own Option Tags, so customers get the tag for whichever region they choose.

Option settings of a choice question: the option Northern region has the Option Tags Region: North, and the option Central & southern region has the Option Tags Region: Central & South

For every form field, see Create a form.

4. Print the form QR code at your booth

After saving, click the form in the form list. On the right, Form info shows copy-link and QR code buttons next to the form link. Print the QR code on your booth posters, catalog back covers and sales reps' business cards. Before the show, fill in the form once using the Test form link; the test link doesn't save any records.

5. Follow up by request after the show

After the show, create a post under LINE › Post Article: under publish target, set audience source to OakMega segment and audience setting to tag filter, then choose "Request: catalog" under contain tag, and put the digital catalog link in the content. The demo post reads: "Thanks for stopping by our booth at the 2026 Machine Tool Show! Here are the digital catalogs for the VX-500 Vertical Machining Center and the LS-300 Laser Cutter: (catalog link). If you'd like to see the machines in action at our plant, just reply to this message and the sales rep for your region will get in touch."

Sales reps in each region contact customers tagged "Request: factory demo" directly from Service Center. To set up the digital catalog, see Send digital catalogs on LINE.

How it works and limits

  • Option Tags are applied only on submission. If a customer fills in the form again and picks a different region, the new tag is added, but the old one isn't removed automatically.
  • Tagging and the Service Center transfer both run in the background. Their order isn't guaranteed, so occasionally a conversation is assigned before the region tag is applied and lands in the Default Organization. On show days, have a manager keep an eye on the Default Organization and manually move any trade show leads to the right sales team organization; see Handle conversations in Service Center.
  • Only conversations not already in service get reassigned. If a customer is already in a Service Center conversation that hasn't been closed and fills in the form again, their organization doesn't change.
  • Login and add-friend must be on. Without login, the form doesn't know who filled it in, so it can't apply tags or transfer the customer to Service Center. Without friendship, you can't reach them with a post after the show.

What customers see

① The trade show form the customer sees after scanning the booth QR code and logging in with LINE (the screens are a Chinese demo): name and phone are filled in from their member data, and the customer enters a company name, checks what they're interested in and picks the company location; ② the completion page after tapping the button. On submission, OakMega applies the request, region and source tags and transfers the conversation to Service Center.

① The trade show form on a phone (Chinese demo): Real Name and Phone filled in with sample data, a sample company name, "Send me the digital catalog" checked under "What are you interested in?", "Northern region" selected under "Company location", and the submit button at the bottom right; ② The completion page: the form has been submitted, thanks for your answers, and your response has been received

Variations

  • Distributor visitors: add an option "I'm a distributor" that applies "Role: Distributor", and set up an organization that handles distributors only.
  • Compare several shows: use a different "Source" tag and form for each show, then compare lead counts and demo requests across shows afterwards.
  • Reply on the spot: under Follow-up Actions, turn on Send Message via Communication Platform and pick a template, so customers immediately get a reply like "Thanks, we've got your request. A sales rep will contact you within 3 business days."
